Database Manager and Registrar

As the Registrar, you will play a crucial role in managing our academic records and school's database system, providing essential support and information to our entire Mount de Sales community. We are seeking someone who is proactive, loves solving problems, and has a background in database management. This position requires a deep understanding of databases and the ability to integrate different software programs effectively. Database Manager: 
  • Manages integrated MDSA Blackbaud platforms for Academics, and assists with functions related to Advancement, Finance, and Admissions. 
  • Collaboratively envisions long-term database integration and assesses needs. 
  • Maintains database integrity through regular maintenance. 
  • Supports user account creation and access. 
  • Coordinates constituent data updates. 
  • Assists Enrollment Management with data needs and processing, as determined by Director of Admissions. 
  • Maintains relationship with Blackbaud customer service. 
  • Identifies database hardware and software needs. 
  • Supports integration with other digital applications. 
  • Facilitates training and implementation. 
  • Organizes documentation, processes, and procedures for database use. 
 
Registrar: 
  • Oversees SIS/LMS, Blackbaud’s Educational Management Solutions. 
  • Supports academic services with annual tasks, including calendar management, report cards, and transcripts. 
  • Assists Vice Principal of Academics with scheduling and schedule change requests. 
  • Facilitates and monitors academic information entry. 
  • Interprets and ensures registration policies and graduation requirements. 
  • Manages enrollment, transfer, and withdrawal process.  
  • Registers new students and processes schedule change requests. 
  • Compiles statistical data on registration and enrollment. 
  • Maintains electronic student records, including transcripts. 
  • Coordinates with Department Chairs on textbook ordering and textbook database management. 
  • Processes student and alumnae record requests. 
  • Provides reports to Maryland State Department of Education and appropriate stakeholders. 
  • Perform other duties as assigned by Principal or Vice Principal of Academic Affairs. 
Skills/Attributes:

  • Strong work ethic, attention to detail, and creative problem-solving. 
  • Proficiency in MS Office Suite and MDSA Blackbaud Platforms or similar databases. 
  • Strong Excel experience, particularly with data import/export. 
  • Ability to learn and integrate new software efficiently. 
  • Interest in optimizing data systems for greater efficiency. 
  • Ability to formulate and enforce best practices for data consistency. 
  • Quantitative reasoning skills for assessing academic records accuracy. 
  • Excellent organizational skills for managing multiple projects. 
  • Ability to work in a kind, professional, and collegial manner with the faculty and staff, students, and parents, maintaining discretion and confidentiality. 
  • Proficient in creating and delivering database training materials. 
  • Strong written and oral communication skills. 
  • Punctual and adherent to schedules. 
  • Maintains focus and composure under pressure. 
Professional Qualifications 
  • Bachelor's Degree, Database Management, or a related field preferred but not required. 
  • Preferred knowledge of and experience in an academic setting. 
  • Preferred knowledge of databases, and an ability to learn new software quickly. 
  • This position requires a strong working knowledge of Microsoft Office Suite, especially Excel.
