Executive Administrative Assistant

The Executive Administrative Assistant to the Principal at Mount de Sales Academy is expected to be a highly skilled, organized professional who works in close collaboration with the Principal and senior leadership team. Mount de Sales Academy seeks to offer a high-quality program that is integrated with religious truths and values. The Executive Administrative Assistant supports the fundamental beliefs, values and traditions of the Catholic Church in communications, personal demeanor, and lifestyle. The Executive Administrative Assistant to the Principal provides administrative and organizational support to the Principal and senior leadership team, as directed, by the Principal. The applicant is expected to have a working knowledge of the Microsoft office suite and familiarity with administrative databases.
Key responsibilities include supporting daily administrative tasks, assisting in event planning, and coordination of the academic program materials.


Duties and Responsibilities
  • Coordinate the day-to-day business of the Principal’s Office in a professional, confidential, and efficient manner.
  • Prepare, edit, and proofread correspondence, reports, presentations, agendas, meeting minutes, and other documents with accuracy and attention to detail.
  • Coordinate and supports school events, meetings, board meetings, liturgical celebrations, and special projects as directed.
  • Process administrative workflows such as purchase orders, expense reports, invoices, and basic budget tracking in collaboration with the business office.
  • Coordinate and assist with the preparation of accreditation materials in partnership with Business Office, Development, Academics, and Admissions.
  • Coordinate and maintains the faculty /staff handbook including annual updates.
  • Coordinate and orders flowers and gifts for illness, deaths, and special occasions.
  • Perform other duties as assigned by the Principal that support the mission and efficient operation of the school.


Skills/Attributes
  • Commitment to the mission and vision of Catholic education in general and Mount de Sales Academy in particular.
  • Working knowledge of MS Office Suite and Administrator’s Plus or similar database system.
  • Excellent communication skills and the ability to interface with parents, students, fellow teachers, professionals from other schools, and the general public.
  • Self-starter with the ability to coordinate, prioritize and analyze several ongoing projects simultaneously.
  • Strong attention to detail and ability to bring tasks to completion.


Qualifications
Required
  • Bachelor's Degree
  • Proficient in MSOffice, specifically Word and Excel
  • Proficient in educational administrative platforms
Preferred
  • Experience in an educational setting
  • Flexibility to occasionally work evenings or weekends to support events, board meetings, or other identified events
